How do I secure my sponsorship?  It’s easy!  Just 3 simple steps:

  • Step 1 – complete the sponsor inquiry form
  • Step 2 – upon submission of the inquiry form you will receive the Sponsor Prospectus and instructions on how to select your level and add-ons.  Step 2 also requires that you agree to the terms and conditions.
  • Step 3 – Submit payment

When do I have to pay for my sponsorship? With in 30 days of completing the sponsor contract.

I am already a sponsor of the community, does that make me a Cruise sponsor too?  No.  The Cruise sponsorship is separate from the annual social sponsorship. However, current existing annual sponsors are eligible for a $5,000 discount on any Cruise sponsorship level.

Can I sponsor the Cruise if I am not an existing annual sponsor of the community.  Yes.

Can I just select an add-on and not a full sponsorship level?  No.  The add-ons are only an option with the purchase of a full sponsorship.

How/when do I register my co-workers/guests?  Once we receive your sponsorship payment in full, you will be provided with a registration link to sign up yourself, your co-workers and/or guests.

Is there an additional fee for guests?  Each sponsorship level comes with a limited number of complimentary registrations for your co-workers. Spouses, significant others, and children must pay $199 per person.



Can I speak at the event? If you are interested in presenting a topic, please send us an email with a short bio, title, description of the session, and learning objectives by February 25th.  The conference committee will review all submissions and make a decision by March 10th.

How many co-workers can I bring with me?  Each sponsorship level allows for a limited number of complimentary registrations for co-workers.  This allows them to participate in all conference activities.

Can I use my complimentary registrations for my spouse or children?  No.  Spouses, children, and non-work related guests will need pay a guest fee of $199 in order to participate in the conference social activities.  They are not allowed to attend sessions, however, they may participate in other social activities.

When do you need my items for the conference bags?  August 1, 2021.

If I sponsor a reception do I have to plan it as well?  No. The ITBOG Event Coordinator will take care of all details of the receptions.

If I sponsor a dine around at a specialty restaurant, am I responsible for planning or organizing the dinner?  No. The ITBOG Event Coordinator will take care of all of the details for the dinners.

Do I get to choose which restaurant I want for my dine around?  Yes. The ITBOG Event Coordinator will get with you to choose the location that you like best.

Do I have to include spouses/guests in my dine around invitation?  No.  You can choose to just host members.

How many people can I host for a dine around? 10. Multiple dine around opportunities will be available. 


What is the format for the conference?  There will be two four hour blocks of meetings on Saturday and Sunday from 8am-12pm.  See full intinerary.

Who is presenting?  We are still working on that.  Check back soon.

Can my spouse/guest attend the sessions?  No.  They are reserved for members and sponsors only, however, they may participate in other social activities.

Will we have an exhibit table during the sessions?  Yes.

Can I leave my exhibit table set up the entire time?  No.  You will need to break your table down each night and store your materials in your stateroom.

Can I bring banners and/or signs?  Yes, but they must be free standing or you will need to supply your own easel.

Will I have the opportunity to set up one-on-one meetings with members during the cruise?  We hope to have this available for sponsors.  Please check back.


Can I bring a guest with me?  Yes. If you are bringing a co-worker you can use one of your complimentary registrations for them.  If you are bringing a spouse, children or other non-work related guest you will need to register them and pay $199 fee if they plan to participate in the conference activities.

Can my guest attend the sessions? Only if they are co-workers.

Are there things to do for kids/teens?  YES!  The ship has a number of activities to keep your kids entertained while you are on board.

Can a pregnant woman cruise?  If a pregnant guest as entered or is entering their 24th week before or during the cruise, the are NOT ABLE to travel.  Guests who are pregnant and under 23 weeks of pregnancy for the length of the cruise must have a FIT TO TRAVEL note from their physician.

Can I bring an infant? An infant must be at least six (6) months old as of the first day of the cruise.



How do I book my cruise reservation?  All reservations are done through the group sales department of Royal Caribbean.  Call (800) 465-3595 and reference group ID 430176. Please note: booking with our special group ID cannot be done via Royal Caribbean’s website.

Does my sponsorship cover the cost of my accommodations?  No.  As with all other conferences, travel and accommodations are the responsibility of the individual.

How much are the staterooms?  There are three types of rooms in our block:

  • Ocean View $449
  • Interior Room $369
  • Ocean View with Balcony $569

Does the cruise line provide a shuttle from the airport to the cruise terminal? Transfers from the airport to the cruise port are available for purchase when you book your reservation.

What is the best way to book my flights?  Royal Caribbean recommends the Air2Sea program.  You can select the airline, schedule and price that works best for you when making your cruise reservation.

What do I need to book my reservation?  Each traveler will be required to provide the following at the time of booking:

  • Name as it appears on travel documents
  • Citizenship
  • Age
  • Gender
  • Mailing address
  • Telephone number
  • Email address
  • Proper deposit

Do I need a passport?  It is possible to travel to the Bahamas from the United States without a passport, but it is not advisable. US citizens can enter the Bahamas without a passport, they can not legally re-enter the US without proper documentation. A passport, passport card, or other Western Hemisphere Travel Initiative (WHTI)-compliant documentation is required for US citizens to enter or re-enter the United States.

Does the Real ID take the place of a passport?  No.

What is not covered by my cruise price?

  • Air transportation
  • Ground transportation
  • Event tickets
  • Shore excursions (except those that are sponsored by our group)
  • Meals and accommodations ashore
  • Select beverages or beverage packages (can be purchased ahead of time)
  • Photographs
  • Gratuities (recommended amount is $54.00/per person for the entire cruise)
  • Taxes, fees and port expenses (106.07/per person)
  • Telephone calls
  • Specialty restaurants (unless you participate in a dine around)
